Every small business has the same drawer — physical or digital — full of invoices, contracts and customer emails that nobody has time to file. Someone downloads a PDF, renames it by hand, drops it in a folder, and hopes the next person can find it. Multiply that by a week of orders and you get the quiet tax every team pays: searching, re-reading, and answering the same questions twice.

Document processing automation changes the boring part, not the decision part. Here is the workflow we use with aiFetchly:

1. Read first, file second

The agent reads the document — invoice, contract, or customer email — and pulls out what matters: who sent it, what it is about, dates, amounts, and what action it asks for. It does not need the file to arrive in a perfect template. A scanned invoice from one supplier and a plain-text email from another both get the same treatment: extract, then structure.

2. Classify before you store

Once read, each document gets a type and a home: invoice, contract, quote, support request, or general correspondence. Filing becomes a consequence of understanding, not a separate chore. When a document does not fit cleanly, it is flagged for a human instead of being guessed into the wrong folder.

3. Draft the reply from local knowledge

This is where local-first matters. The agent drafts replies using your own local business documents — your price lists, your terms, your past answers — instead of sending your files to a cloud service to be processed. The draft is a starting point: a person reviews it, corrects it, and sends it. Nothing is sent automatically without that review.

4. Keep a trail you can audit

Every document keeps its source, its classification, and the draft it produced. If a customer asks "what did we agree?" you can point at the document, not at someone's memory.

What it does not do

It does not replace judgement. A contract with an unusual clause, an invoice that does not match a quote, or an unhappy customer still needs a human. Automation should shrink the pile of routine paperwork so the exceptions get real attention.
